Description:

This is an executive management position that provides effective direction, management and leadership to the association and its affiliates in the areas of finance, accounting, business strategy and development, facilities, and office administration. The incumbent also serves as the staff liaison to the Finance Committee and Building Committee.


Duties:

Serves as a member of the AIA national component executive team in setting overall organizational strategy, collaboratively supporting others, in addition to providing functional leadership on his/her own team.

Establishes and maintains sound financial management practices and operational cost controls for the association and its non-profit and for-profit affiliate organizations, in compliance with GAAP, FASB issues and IRS regulations.

Recommends financial and operational policies and/or changes to the EVP/CEO for consideration of the Finance Committee and Board of Directors.

Provides strategic business development guidance to the Institute and its volunteer leadership; develops models, SWOT analysis and/or other tools to support recommendations.

Actively seeks out and maintains up-to-date knowledge regarding GAAP, FASB, IRS, AICPA regulations and corporate tax reporting requirements, etc.

Maintains an active, visible external role in the association and member communities to creatively seek out best practices and financial/operational ratio information, and develop key relationships to assist the Institute and its affiliates in meeting continuous improvement initiatives.

Directs the preparation of the Institute’s annual capital and project-based operating budgets and forecasts; actively monitors performance against the budget; maximizes the efficient and effective use of financial resources.

Participates in negotiations for large capital and operational leases, contracts and other expenditures.

Oversees the preparation of monthly and annual team, organizational and consolidated financial statements to facilitate financial and operational management decision making; provides interpretative analysis and supportive recommendations.

Works closely with management council on budget development, monitoring and financial reporting to ensure consistency in financial control and review.

Serves as staff liaison to the Finance Committee and the Building Committee; prepares periodic summary and detailed reports and makes presentations on organizational and consolidated financial and operational results.

Directs the management of the Institute’s investment portfolio; recommends investment policy amendments to the Finance Committee to maximize investment return; establishes relationships with investments firms and banking institutions; monitors investment performance against benchmarks and recommends adjustments, as needed; develops, maintains and implements an effective cash management model for the Institute.

Coordinates and directs all aspects of the annual financial audit of the organization and its affiliates, including assuring timely completion of confirmations, schedules and supporting records and documentation.

Oversees the Institute’s risk management programs, assuring a proper level of comprehensive, cost-effective liability coverages and accounting, payroll and corporate tax filings.

Assists the Board Treasurer in complying with Institute by-laws.

Directs the functions of facilities/building management, office services, and telecommunications; assures satisfactory tenant relations and maximizes external vendor relationships in these areas.

Provides strategic direction and oversight of the centralized meetings function at the national component, including off-site and on-site meetings.

Provides oversight of the AIA bookstore.

Manages the staff of the Finance/Administration team, including structuring the team and designing positions for maximum productivity, approving new hires, transfers, and terminations, coordinating and/or conducting performance appraisals, and making compensation recommendations.

Lead the Institute in the “greening” of AIA National. Work with architects and contractors to ensure 1735 New York Avenue is a model 21st century work environment.

Handles or leads other special projects as assigned by the AIA Executive Office.

Experience:

Extensive knowledge and skill in for profit and non-profit financial and accounting management, including project-based budget development, organizational auditing, investment and portfolio management, and strategic business development. In-depth knowledge of GAAP, FASB issues and IRC regulations. Considerable demonstrated ability to guide an organization in accomplishing its fiscal goals and objectives. Outstanding skills in written/oral communication, negotiation and active listening. Considerable skill in leadership, facilitation, team building, strategic planning, collaborative problem solving, and conflict resolution. Considerable skill in the use of automated accounting systems (preferably Solomon) and various Microsoft Office applications, including Excel and Word. Ability to coordinate diverse resources, to interact effectively in an individual membership environment, to analyze issues and concepts to correctly state a problem and develop recommended solutions.

Bachelor’s Degree in Finance, Accounting, Business, Management, and fifteen years of responsible senior level financial and operational management experience, including experience in associations (501(c)(6) and in for-profit organizations. CPA preferred. 501(c)(3) experience is helpful. MBA or advanced degree preferred.


Supervisory Requirements:

Directs a staff of approximately 26 full time employees.
